Communication is a process whereby information is enclosed in a package and is channeled and imparted by a sender to a receiver via some medium. The receiver then decodes the message and gives the sender a feedback. All forms of communication require a sender, a message, and an intended recipient, however the receiver need not be present or aware of the senders intent to communicate at the time of communication in order for the act of communication to occur. Five Communication Elements Source Encoder Signal Decoder Destination The goals of communication process are to inform, persuade, motivate, or achieve mutual understanding. To be a effective communicator must have basic knowledge: What constitutes communication and how people receive messages; How people process information and change their perceptions; What kinds of media and communication tools are most appropriate for particular message. One-way Communication one-way communication: Communication in which information is always transferred in only one preassigned direction. One-way communication is not necessarily constrained to one transmission path. e.g., broadcast stations, one-way intercom systems, and wire line news services Two-way Communication Two-way communication - uses communication to negotiate with publics, resolve conflict, and promote mutual understanding and respect between the organization and its public(s). e.g., negotiation, discussion, email Key Communication Skills Let team members express in own words Observe non verbal clues Encourage team members to continue speaking Establish eye contact Active listening Verbal Communication What to say ? How to say? Whom to say? When to say? What you should not say? Important Points in Communication Feel good about yourself Learn to avoid using ‘I’ and ‘ME’ Instead use ‘YOU’ and ‘WE’ Pause, pace, pitch, and voice modulation The SOFTEN Technique S = smiling O = open body posture F = friendly energy T = touching while talking
