Unit 11 Acceptance or Confirmation The Study Purpose Writing the Acceptance Letter The letter of acceptance should include the following contents 1. Express the thankness of offer/counter offer. Ex. We thank you for your letter of January 12, 1990 offering us 6,000 metric tons of the subject sugar. Ex. We are very pleased to confirm with thanks your order of October 20 for 3000 sheets of Electric Mats amounting to US $225,000. 2 Accept the offer/counter-offer and confirm concluding the business. Ex. After long and friendly discussion, we have now concluded business. Ex. As a result of the exchange of letters between us, we have now come to terms. 3. State the contract and protocol attached to the letter. Ex. Enclosed please find our Sales Contract No. AB009 in duplicate. If you find everything in order, please sign and return one copy for our file. 4. In order to be more careful, in the acceptance letter, the writer just repeats everything both parties discussed before (price, date of shipment or delivery, terms of Payment, quantity, packing, insurance etc.). Ex. Confirm this order with the following particulars: Commodity: Superior White Crystal Sugar. Quantity: 6,000 metric tons Packing: To be packed in new gunny bags of 100 kgs net each Insurance: Our care. 5. The writer expresses the hope and confidence of further cooperation. Ex. We appreciate your cooperation and trust that our products will turn out to be your satisfaction. Ex. The conclusion of the dealing is certainly not the ending. It is only the beginning, and a good one, of the long and friendly business relations between us. 6. Acceptance must be sent to offeree in terms of validity. Ex. We hope they will reach you in good time and that we may have further orders from you. Ex. We are very glad to have been able to conclude this business with you after protracted exchange of correspondence, and we hope to receive your Sale
